Incoterms®

The Incoterms® (International Commercial Terms) are globally recognized rules developed by the International Chamber of Commerce (ICC). They define the responsibilities of buyers and sellers regarding the transportation, delivery, costs, and transfer of risk for goods traded internationally.

Accepted Payment Methods

Rholding BV accepts payments exclusively through:

  • International Telegraphic Transfer (T/T)
  • Bank Wire Transfer

Payments must be made directly to the official Rholding BV bank account specified on the issued Proforma Invoice or Commercial Invoice.

Orders will only proceed to production, packing, or shipment after payment has been successfully received and confirmed.

Payment Policy

  • Payments must be made exclusively to the bank account issued by Rholding BV.
  • Shipment scheduling begins only after payment confirmation.
  • Payment terms are agreed upon before order processing.
  • Any applicable deposit requirements must be fulfilled before production or shipping begins.

Payment Confirmation

Every payment received is:

  • Assigned a unique transaction record.
  • Verified by our finance department.
  • Confirmed with an official payment receipt.
  • Securely stored in our accounting records.

Payment confirmation for international bank transfers typically takes 3–5 business days, depending on the banking institutions involved.

Ordering Procedure

Our ordering process is designed to ensure transparency and efficiency throughout every transaction.

Step 1 – Request a Quotation

The buyer submits a product inquiry or quotation request.

Step 2 – Receive an Official Quotation

Rholding BV provides a detailed quotation including pricing, specifications, delivery terms, and validity period.

Step 3 – Purchase Order

After accepting the quotation and agreed trade terms, the buyer submits an official Purchase Order (PO).

Step 4 – Contract & Proforma Invoice

We issue:

  • Sales Contract (where applicable)
  • Proforma Invoice
  • Payment Instructions

Step 5 – Payment

The buyer completes payment according to the agreed payment terms.

Step 6 – Payment Verification

Upon receipt of funds, Rholding BV confirms payment and issues an official payment receipt.

Step 7 – Order Preparation

Production, packing, labeling, and export preparation commence.

Step 8 – Inspection & Shipment

Goods undergo quality inspection before shipment in accordance with the agreed delivery terms.

Step 9 – Shipping Documents

The buyer receives the applicable shipping documentation, which may include:

  • Commercial Invoice
  • Packing List
  • Bill of Lading / Air Waybill
  • Certificate of Origin (where applicable)
  • Inspection Certificate (if required)
  • Other export documentation

Step 10 – Delivery

The shipment is delivered according to the agreed Incoterms®, after which the buyer confirms receipt of the goods.

Eligibility for these benefits is determined by our sales team and communicated during the quotation process.

Incoterms Explained

EXW – Ex Works

The seller makes the goods available at its premises or another agreed location. The buyer assumes responsibility for loading, transportation, export procedures (where applicable), and all subsequent costs and risks.

FCA – Free Carrier

The seller delivers the goods to a carrier or another party nominated by the buyer at an agreed location. Responsibility transfers to the buyer once delivery to the nominated carrier has been completed.

FAS – Free Alongside Ship

Applicable for sea and inland waterway transport only.

The seller delivers export-cleared goods alongside the vessel at the agreed port of shipment. From that point onward, all risks and costs are transferred to the buyer.

FOB – Free On Board

Applicable for sea and inland waterway transport only.

The seller delivers the goods on board the vessel selected by the buyer at the agreed port of shipment. Once the goods are loaded onboard, all risks transfer to the buyer.

CFR – Cost and Freight

Applicable for sea and inland waterway transport only.

The seller arranges and pays for transportation to the destination port. Risk transfers to the buyer once the goods have been loaded onto the vessel. Marine insurance is not included.

CIF – Cost, Insurance and Freight

Applicable for sea and inland waterway transport only.

The seller pays for transportation and marine insurance to the named destination port. Although insurance is included, the transfer of risk occurs once the goods have been loaded onto the vessel at the port of origin.

CPT – Carriage Paid To

Suitable for all modes of transport.

The seller pays transportation costs to the agreed destination. Risk transfers to the buyer when the goods are handed over to the first carrier. Insurance is not included.

CIP – Carriage and Insurance Paid To

Suitable for all transport modes.

The seller pays for transportation and cargo insurance to the named destination. Risk transfers to the buyer when the goods are delivered to the first carrier, while insurance coverage remains in place throughout the agreed transport.

DAP – Delivered At Place

Suitable for all transport modes.

The seller arranges transportation to the agreed destination and delivers the goods ready for unloading. Import customs clearance, import duties, taxes, and unloading remain the buyer’s responsibility.
